About

The Physical Trade Status app provides an overview of the spot contract status with stock delivery, payment and invoice quantity and amount. If the undelivered/open quantity and amount are displayed in red, it means that the inventory is not settled yet/has not been completed yet, allowing you to monitor and manage your outstanding contracts more efficiently. If the unsettled quantity or amount is 0, it will not be displayed in red, its status will automatically become "SETTLED".

This app uses Contract No. to link the stock in/out cargo to the contract, allowing accurate monitoring of cargo quantity and amount. "Invoice" is linked to PS Ledgers, please refer to below "Input".

Unsettled quantity and amount details are shown in the first few columns in the table whereas settled quantity and amount details are shown in the last few columns (scroll to the right).

Navigation

To access the quantitative model/report, click on 'Dashboard' from the navigation sidebar on the left. 

Select the model/report from the drop-down list and click 'Create'. Click on the 'Settings' button (gear icon) at the top right corner of the model to set up your model/report.


Sharing Model/Report/Dashboard

To share the model with your group members, click on the "Share" button next to the Title of the model followed by the email address of the group members you want to share it with. Once submitted, the model will appear in the Dashboard>Group Dashboard of the selected group members.

This is different from sharing individual or entire Dashboard models/reports, which allows any user who may or may not be users of MAF Cloud to access the individual model/entire dashboard via the shared web link (link will expire in 8 hours). In Group Dashboard, only group members can access the shared models/reports.

You may also group the rows (liken to the pivot table function in Microsoft Excel) to view the grouped data by dragging any column headers into the “row groups” section as highlighted:

The data in the table will be grouped according to your setting and you may drag multiple column headers into the “row groups” section to group them as necessary.

Cargo Transfer Rule

There are 2 methods to monitor how cargo is delivered:


Title Transfer Date: Once Title Transfer Date is input (or when you tick AUTO TTD which will auto-fill your contract's TTD with Trade Date), then the system will consider it as delivered.
Warehouse: The system will consider it as delivered only when stock in/out of contract quantity is recorded in Stock Management function

Amount: Display unsettled and settled amount columns

Invoice: Display unsettled and settled invoice quantity and amount columns

Unsettled quantity and amount details are shown in the first few columns in the table whereas settled quantity and amount details are shown in the last few columns (scroll to the right).

"Invoice" here is linked to PS Ledgers:

For PSL TYPE column

If you select:

a. PAYMENT: Payment transaction, the amount will be used for “SETTLED AMT” and “SETTLED QTY” calculation in “PHYSICAL TRADE STATUS” app.

b. INVOICE: Invoice for the payment, the amount is used for “INV AMT” and “INV QTY” calculation in “PHYSICAL TRADE STATUS” app.

For LEDGER TYPE column

bi. RECEIVED: It means the payment is received from your counterparty, it is also applied to “INVOICE” type row.

bii. PAID: It means the payment is paid to your counterparties, it is also applied to “INVOICE” type row.


AMOUNT: Always positive number which is used for amount calculations in “PHYSICAL TRADE STATUS” app.


Select Group

Settled: Display settled stock contract only

Unsettled: Display unsettled stock contract only

Both: Display both settled and unsettled stock contract

Duration

Select the start and end date to determine the range of period and cut-off date for the computation of outstanding quantity

Start Date will be the first day of the year by default. After changing the start date, the app will retain the start date until you log out.

End Date will be yesterday's date by default.

You are free to edit the dates as necessary.


Auto-Update

Tick: Resets the dates to default once you leave the ‘Dashboard’ page.

Untick: Dates according to your settings remain unchanged once you leave the ‘Dashboard’ page.

Comments

The inserted comments will be displayed at the bottom of the application. This can be useful for documentation purposes or for settings description.

Basically if input data in PS Ledger, the total quantity and amount with PSL TYPE as INVOICE for the trade will be reflected as SETTLED quantity and amount in the Physical Trade Status app; otherwise, will be reflected in UNSETTLED quantity and amount.

If input data in PS Ledger, the total quantity and amount with PSL TYPE as PAYMENT for the trade will be reflected as SETTLED quantity and amount in the Physical Trade Status app; otherwise, will be reflected in UNSETTLED quantity and amount.

STATUS: If all unsettled contract is settled (quantity and amount displayed as 0), the status will auto become "settled"

UNSETTLED QTY: For stock contract quantity that has not been input as PAYMENT (PSL TYPE) into PS Ledgers table, the total stock quantity will be reflected as Unsettled Qty in the app. Unsettled Qty = Actual Qty - Settled Qty

UNSETTLED AMT: For stock contract quantity that has not been input as PAYMENT (PSL TYPE) into PS Ledgers table, the total stock amount will be reflected as Unsettled Amt in the app

UNSETTLED INV QTY:  For stock contract quantity that has not been input as INVOICE (PSL TYPE) into PS Ledgers table, the total stock quantity will be reflected as Unsettled Inv Qty in the app Unsettled Inv Qty = Settled Invoice Qty - Invoice Qty. Invoice Qty refers to the quantity input as INVOICE (PSL TYPE) into PS Ledgers table.

UNSETTLED INV AMT: For stock contract quantity that has not been input as INVOICE (PSL TYPE) into PS Ledgers table, the total stock amount will be reflected as Unsettled Inv Amt in the app

SETTLED QTY: If you input the stock contract as PAYMENT (PSL TYPE) into PS Ledgers table, the total stock quantity will be reflected as Settled Qty in the app. Settled Qty = Actual Qty

SETTLED AMT: If you input the stock contract as PAYMENT (PSL TYPE) into PS Ledgers table, the total stock amount will be reflected as Settled Amt in the app

SETTLED INV QTY: If you input the stock contract as INVOICE (PSL TYPE) into PS Ledgers table, the total stock quantity will be reflected as Settled Inv Qty in the app

SETTLED INV AMT: If you input the stock contract as INVOICE (PSL TYPE) into PS Ledgers table, the total stock amount will be reflected as Settled Inv Amt in the app


  • Unsettled Amt and Contract Amt can be empty as Actual Price is not filled so we do not know the value of the contract, this allows user to monitor if the contract has Actual Price or not

Add a column called ACTUAL QTY (实际量) after CONTRACT QTY

  1. SETTLED QTY now is ACTUAL QTY

  2. UNSETTED QTY = ACTUAL QTY - SETTLED QTY

  3. UNSETTED INV QTY = SETTLED QTY - INVOICE QTY



Example:

After inputting a new trade and its title transfer date, the trade will appear in the Physical Trade Status table. 

Unsettled Qty = 0 as Actual Qty - Settled Qty, Settled Qty will thus reflect the actual quantity

Unsettled Inv Amt is 0 as Settled Inv Amt is 0

So you will need to input the Actual Price in the trade execution for the contract and the Unsettled Amt will be reflected accordingly. In this case, our actual price is 1 and Unsettled Amt is thus calculated and displayed as $60,000.


So once payment has been received, you may proceed to PS Ledger page to input PAYMENT row to settle Unsettled Amt (make it 0). Unsettled Inv Qty and Unsettled Inv Amt will thus be highlighted in red, indicating the need to go to PS Ledger page to input INVOICE row in order to settle the trade and make it 0.


Once done, the trade will be closed and settled, and will not be highlighted in red.
